CANCELLATION AND REDUCTION

These terms and conditions apply as a contract for events at Sommerro. All cancellations and reductions must be made in writing and the following cancellation deadlines apply. In the event of downward adjustments to the number of rooms and participants in relation to the original booking, the hotel reserves the right to change the prices (applies to room, conference, food and drink).

The hotel reserves the right to change premises if the change is significantly downgraded. In the event of a reduction, the remainder of the estimated total value is invoiced in full In the case of a minimum spend, this is paid in full regardless of reductions in advance of the event, beyond that, reference is made to the cancellation matrix.

The booker can cancel an event of 40 guests 30 days before arrival and is obliged to pay 50% of the reservation's total value. If you cancel an event less than 14 days before arrival, you must pay 100% of the reservation's total value, see deviation from 100-250 people. For events larger than 250 people, cancellation and reduction conditions are agreed in advance.

Conditions for arrangement

To ensure the completion of their event, the hotel wants a review of the program with the booker before it is distributed to the group. It is the hotel's intention that all implementation is taken care of and in line with the hotel's possibilities and capacity

Brought equipment

Placement of gifts, use of special equipment, setting up of decorations and posters, raising of flags/pennants, signage etc. must be agreed and approved by the hotel in advance.

Exhibitors and rigging

Exhibitors and rigging must be agreed with the hotel in advance and will be priced according to need and availability.

Program and name lists

Final program and name lists must be received by the hotel no later than 3 weeks before arrival. The orderer is responsible for notifying if any of the participants have special needs that should be taken into account.

Damage

The organizer is responsible for any damage caused to the hotel as a result of negligent or intentional behavior by event participants. Sommerro is not responsible for belongings brought to the hotel. If the asset is of special value, the hotel must be informed. The hotel is only responsible for any losses in cases where the hotel has assumed responsibility for property in writing.

Bring food and drink

It is not permitted to serve brought food and drink in the hotel's event rooms, restaurants, bars, common areas and roof terrace.

Noise

The organizer must, together with the hotel, ensure that the sound level is kept at an acceptable and agreed level. The hotel is obliged to comply with the guidelines that are in force at all times.

End time

When using the premises after the original closing time, this must be requested separately, also to the extent that it is necessary to extend the pouring time on the roof terrace. NOK 2,500 will be charged per started hour for room hire, if the room is to be used beyond the set end time.

Shipping to the hotel

The organizer is responsible for all costs associated with packages sent to Sommerro in connection with an event. Shipping costs that arrive at the hotel after the event has taken place will be charged to the sender.

Decoration
The prices include setting in a separate event room, with tablecloths, flowers and candles on tables. Upgrade of flowers on request.

Menus
Everyone in the company chooses the same menu unless otherwise agreed in advance.

Allergies and dietary considerations
Allergens, changes and requests for special menus must be reported to the hotel no later than 14 days before arrival. If information is submitted later, there will be an additional cost of NOK 125 per person.

Guard duty
The hotel reserves the right to hire security guards in connection with larger outdoor events to ensure security at the hotel. When the hotel deems it necessary to have a security guard, we will have a dialogue with the booker about this in advance. Costs for guarding are posted afterwards on a joint account.

Fire instructions
In the case of special events that require switching off the hotel's fire alarm, this must be agreed in writing with the hotel. Bookers are obliged to follow the hotel's fire instructions at all times.

Settlement
Costs for possibly ordering various extra services and meals that are not included in the price offer must be charged to the organizer's joint account. Event expenses must be settled with approved payment cards or agreed invoicing.

Responsibility for participant bills
For benefits that are not included in the price offer, each individual participant settles separately. The organizer is responsible for unsettled participant bills.

Credit
If an invoice is to be sent, this must be agreed in advance. Credit assessment will be carried out upon invoice request. An invoice fee of 65 will apply. Payment terms are 10 days net. We use electronic invoice processing and do not send invoices under NOK 5,000. In case of late payment, a fee of NOK 65 will be charged. 2% interest per month will be calculated.

Value added tax and general price adjustment
In the event of changes in the current rates for value added tax. the prices will be adjusted accordingly. We reserve the right to general price increases for the hotel's services. The stated prices include VAT and are not entitled to commission.

Deposit/bank guarantee
We reserve the right to request a deposit/bank guarantee.

Force Majeure
Events beyond the hotel's control such as strikes, lockouts, fires, missing and late deliveries etc. give the hotel the right to cancel the agreement without liability.
